How to train your waiters on a new tool in one day
Published
A new tool succeeds or fails on the floor, in your waiters' hands. If they do not like it, they will always find a reason to go back to the notepad. With good preparation, one day is enough to get them comfortable. Here is a simple plan that works for a new till, a QR menu or an ordering app.
Start the free trialPick the right day
Never launch a new tool on a match night, a Friday evening or in the first week of Ramadan. Choose the quietest day of the week, usually early in the week, and train in the morning before service.
Make sure the whole team is there, bar and kitchen included. A trained waiter working with an untrained barman means a lost order.
Explain the why before the how
Start with what the tool changes for them, not for the owner: fewer trips to the counter, fewer badly written orders, fewer annoyed guests, tips tracked properly. A waiter who sees what is in it for them learns much faster.
Listen to their worries. Many fear being watched or replaced. Answer honestly: the tool is there to serve guests better and to protect everyone when something goes wrong, not to take their job.
Five moves to master, not fifty
Do not demo every setting. A waiter needs five moves: log in, see a new order, confirm it, answer a table call, and settle the bill. Everything else can wait.
Write those five moves on one sheet, in the team's language, and stick it behind the counter for the first week.
Show each move once yourself, then hand the phone over and let every waiter do it alone while you watch. Do not grab the phone back when they hesitate; let them find the button. People remember what their own fingers did, not what they saw you do.
A mock service before the real one
The best training is a pretend service. Seat two or three people as guests who really order from the tables: a black coffee, two juices, a plate, a request for water, a bill to split. The waiters handle these orders from start to finish.
Add the hard cases on purpose: a dish that has run out, a guest who changes their mind, a table that wants to pay separately, an older guest who prefers to order out loud. Practising these cases is what builds confidence.
Name a go-to person
Choose the person on the team who is most at ease with a phone, not necessarily the most senior. They become the go-to person: during service, staff ask them when stuck, instead of calling the owner.
Have a plan B for the first days too: if something does not work, everyone knows how to keep service going without panic.
Follow up in week one
After every service in the first week, take five minutes with the team: what got in the way, what did they like? Fix annoying settings right away. Praise the people who are getting it, in front of everyone.
Do not accept going back to the notepad 'just for tonight'. A tool used halfway creates more mistakes than no tool at all.
With Tablilo
Tablilo's waiter app opens on the waiter's own phone, with nothing to install, and a 4-digit PIN. Each waiter picks their language (French, Arabic or English) and the tables they serve today; orders arrive with the table and quantities and are confirmed with one tap. Waiters can also key in an order for a guest who prefers to order out loud.
In 'Mon service', each waiter sees their tables, guests and tips for the day. The manager has a separate login without settings, and every cancellation is recorded (who, when, why), which also protects honest waiters if there is ever a doubt.
